Introduction

VOEN Consulting ("VOEN," and also referred to below as "we," "us" and "our") provides management consulting services to businesses, focused on organizational structure and decision-making.

This Privacy Notice explains how we process information collected from (1) the web pages of thinkvoen.com and any other website with respect to which this Privacy Notice is posted or linked (collectively, the "Website"), and (2) any other mode of interacting with you relating to VOEN communications, such as newsletters, inquiries, proposals, and scheduling (together, "Communications"). By using the Website or continuing to receive Communications, you agree to the use of such information in accordance with this Privacy Notice.

Information we receive in the course of a client engagement is handled under the engagement agreement with our client, as described in Client engagement information below.

Other websites that may be linked to the Website are not governed by this Privacy Notice. We encourage you to review the applicable privacy statements before disclosing any personal information.

Information collection

We may collect personal information when you interact with the Website or with us, such as when you complete a contact or inquiry form, book a call, subscribe to Communications, or otherwise provide information to us. Such information may consist of your name, current job title, company name, company address, email address, telephone number, correspondence with you, which Communications you subscribe to, and other information you provide to us.

We may also collect personal information if you contact us through a third-party social network account (for example, LinkedIn). The information we collect may depend on the privacy settings you have with that network, so please review its privacy statement.

Sensitive personal information

We do not seek to collect your sensitive personal information, meaning information such as social security, driver's license, state identification card, or passport numbers; financial account, debit card, or credit card numbers in combination with credentials allowing access to those accounts; racial or ethnic origin; national origin; immigration or citizenship status; religious or philosophical beliefs; trade union membership; genetic or biometric data; precise geolocation; political opinions; status as a victim of a crime; medical or health conditions or status; status as transgender or non-binary; or sex life or sexual orientation. Sensitive personal information also includes the contents of your personal mail, email, or text messages unless we are the intended recipient.

Please do not send us sensitive personal information through the Website. Where we need such information and are permitted to collect it, we will obtain your explicit consent where required by law.

Log information, cookies and web beacons

The Website collects standard Internet log information including your IP address, browser type and language, access times, and referring website addresses. To ensure that the Website and Communications are well managed and to facilitate improved navigation, we or our service providers may also use cookies (small text files stored in a user's browser) or web beacons (electronic images that allow us to count users who have accessed particular content) to collect aggregate data. You can control cookies through your browser settings, and through the cookie consent banner on the Website, where you can accept or decline non-essential cookies. Declining non-essential cookies does not affect your ability to use the Website.

Information use

We collect and use your personal information with your consent to provide you with access to the Website and Communications, or where we have a legitimate business interest in, or other legal basis for, such collection and use. The personal information you submit to us may be used to manage our relationship with you, including responding to your inquiries, preparing proposals, scheduling conversations, and improving the Website and the services we offer.

We may also use your personal information to send you materials or communications about our services that we believe may be of interest to you, or to seek your feedback. You may at any time request that we discontinue sending you Communications, emails, or other correspondence. Your personal information may also be used to protect our rights or property and those of our users, and to comply with our legal, tax, and professional obligations.

To the extent that we possess personal information about you that has been de-identified, we maintain and use such de-identified information without re-identifying it. Such de-identified information is not subject to the terms of this Privacy Notice.

Client engagement information

During an engagement, we receive information about our client's organization and personnel, including notes, documents, interview and session content, and materials shared with us. We treat this information as confidential and use it only to deliver the services we have been engaged to provide.

This information is governed by the engagement agreement between us and our client. Where that agreement and this Privacy Notice differ with respect to information covered by it, the engagement agreement controls. If you are an employee or representative of a client and have questions about how your information is handled in an engagement, please contact your organization's engagement sponsor or contact us using the details below.

Meeting recordings and AI tools

We record sessions only with the permission of the participants, requested at the start of the session. You may decline, and you may ask us to stop recording or to delete a recording at any time. Where a recording is made, we may use transcription or summarization tools to produce notes and to improve our own methods and delivery.

We do not use client materials, recordings, or transcripts to train artificial intelligence models, and we configure the tools we use to exclude our data from their model training where that option is offered. Recordings and transcripts are retained for no longer than 90 days unless our client asks us to keep them longer.

Payment information

We use Stripe to process payments. When you pay an invoice, your card or bank account details are submitted directly to Stripe, and we never receive or store full card numbers or bank account credentials. We see only limited information such as the payment method type, the last four digits, and whether a payment succeeded. Stripe's handling of your information is governed by Stripe's privacy policy at https://stripe.com/privacy.

Selling of information

We do not sell or share your personal information, and we have not done so in the preceding twelve months. We do not use your personal information for cross-contextual behavioral or targeted advertising.

Information retention

We retain your personal information for as long as it is reasonably needed for the purposes described in this Privacy Notice. We also may retain your personal information to comply with our legal, tax, or professional obligations, enforce our agreements, or resolve disputes. Financial and engagement records are typically retained for seven years, as required for tax and accounting purposes. Meeting recordings and transcripts are retained for no longer than 90 days, as described above.

Disclosure of information to third parties

Your personal information may be disclosed to third parties: in order to respond to your requests or inquiries; where those parties handle information on our behalf; as part of a corporate transaction (such as a sale, reorganization, merger or acquisition); or to our professional advisers.

The third parties that handle information on our behalf include providers of payment processing, email, scheduling, cloud file storage, transcription, and accounting services.

Personal information may also be disclosed to law enforcement, regulatory or other government agencies, or to other third parties, in each case to comply with legal or regulatory obligations or requests, or to establish or defend legal claims.

By providing information through the Website or in connection with a Communication, you are consenting to the disclosures described above.

Your personal information rights

You may have choices about how your personal information is collected, used and shared. You may unsubscribe from Communications at any time using the link in our emails or by contacting us.

Depending on the jurisdiction in which you are located, you may have the right to request that we confirm whether we process your personal information, or that we correct, delete, or stop processing it. You may also have the right to request that we provide the following information regarding the personal information we hold about you:

  • The categories and/or specific pieces of personal information we collected

  • The categories of sources from which personal information is collected

  • The business or commercial purpose for collecting personal information

  • The categories of third parties with whom we shared personal information

To exercise any of these rights, contact us at info@thinkvoen.com. Applicable laws may also give you the right to lodge a complaint with a local supervisory authority related to this Privacy Notice. We will not discriminate against you for exercising any of your rights with respect to your personal information.

Verification of personal information requests

For certain personal information requests, we must first verify your identity before processing your request. To do so, we may ask you to provide your full name, contact information, and relationship to VOEN. Depending on your request, we may ask for additional information. We will then review it and determine whether we can match it to the information we maintain about you in order to verify your identity.

Third party requests

If you are submitting a personal information request on behalf of someone other than yourself, please include proof that you are authorized to make the request. This may be in the form of a written authorization signed by the person on whose behalf you are acting, or a valid power of attorney.

Special notices to California residents

If you are a California resident, you are entitled to request information concerning any personal information you provide to us as part of an established business relationship for personal, family, or household purposes that we disclose to nonaffiliated third parties for their direct marketing purposes. We do not share personal information with nonaffiliated third parties for such purposes.

Opt-out preference signals and Do Not Track

We do not use targeting or advertising cookies and we do not sell or share personal information for cross-contextual behavioral or targeted advertising, so there is nothing to opt out of through an opt-out preference signal such as the Global Privacy Control (GPC). "Do Not Track" is a preference you can set in your web browser to let websites know that you do not want them collecting information about you. The Website does not currently respond to a "Do Not Track" signal.

Information security

We have in place reasonable commercial standards of technology and operational security to protect personal information provided to us through the Website or in connection with Communications from unauthorized access, disclosure, alteration or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children's privacy protection

The Website and Communications are not designed for or intentionally targeted at children. Our services are provided to businesses. It is not our policy to intentionally collect or maintain information about anyone under the age of 13. If we obtain actual knowledge that we have received such information, we will take steps to delete it.

Privacy practices of third parties

This Privacy Notice only addresses the use and disclosure of information collected by VOEN through your interaction with the Website and through other interactions relating to a Communication. Other websites accessible through links from the Website or a Communication have their own privacy statements and information collection, use, and disclosure practices. We encourage you to familiarize yourself with those statements before providing them with information.

Changes to our Privacy Notice

In addition to describing our current privacy practices, this Privacy Notice also describes the categories of personal information we collected and disclosed during the preceding 12 months. We may modify or amend this Privacy Notice from time to time at our discretion. When we make changes, we will amend the revision date at the top of this page, and the modified Privacy Notice shall be effective as to you and your information as of that revision date. We encourage you to periodically review this Privacy Notice.
